Position: Full-time, 5 days in the office in Dublin, OH.
Summary/Objective: The Office Manager is responsible for the day-to-day administrative operations of the technology hub office, ensuring that the office functions efficiently and smoothly, ultimately contributing to our commitment to excellent customer and client services. This also includes the management of the procurement of goods and coordination of logistics for international shipping. This role is also responsible for oversight of vendor relationships associated with the procurement process.
Main Duties and Responsibilities:
Office Management
- Oversee general office operations, including supplies management, maintenance, and vendor coordination.
- Maintain office efficiency by implementing and improving administrative systems and procedures.
- Coordinate schedules, meetings, and travel arrangements for executives and staff.
- Manage office correspondence, including emails and email distribution, ensuring timely and accurate responses.
- Foster a positive and inclusive office culture by organizing employee engagement activities, events and celebrations.
- Maintain office equipment (copiers & printers, shredders)
- Manage IT Communication Platform
- Oversee office budgets and expenses. Manage vendors and service providers to ensure cost-effective solutions.
- Ensure compliance with company policies, legal, and regulatory requirements.
Procurement & International Shipping - Source and purchase office and operational goods, including coordinating bulk or specialized orders.
- Negotiate with suppliers to secure cost-effective deals and favorable terms.
- Manage procurement documentation and ensure accuracy in purchase orders and invoices.
- Coordinate with freight forwarders, customs brokers, and logistics partners to arrange international shipments.
- Ensure compliance with import/export regulations and documentation requirements (e.g., commercial invoices, packing lists, certificates of origin).
- Track and monitor shipments, resolve delays or discrepancies, and maintain accurate inventory records.
- Contribute to the development of a mature Vendor Management process supporting supplier, information security, and compliance best practices.
Education / Experience / Credentials
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred.
- 3+ years of experience in office management, procurement, or logistics.
- Knowledge of international shipping documentation and customs procedures.
- Ability to work independently and as part of a team.
- Detail-oriented with a strong focus on accuracy and quality.
- Strong organizational, negotiation, and communication skills.
- Proficiency in Microsoft Office Suite and procurement/logistics software.
- Ability to manage multiple priorities in a fast-paced environment.
